Why can't I delete messages from my mailbox if it is
over quota?

If you are using webmail in OnSite and your mailbox is full, or nearly full, then you may run across this problem. The error that you receive when trying to delete your mail in OnSite may look like this:

ERROR : Could not complete request.
Query: COPY 37968 "Trash"
Reason Given: Over quota

Explanation: By default, webmail is set to copy a deleted message to your Trash folder when you try to delete a message. It has to copy the message to the Trash folder before removing it from the folder it was in. However, if your mailbox does not have enough space to make the initial copy to the Trash folder, an error occurs.

Resolution: You can change the default behavior of your webmail client in OnSite by performing the following steps:
  • Login to the account that you are having difficulties with here
  • Click on the "Options" link.
  • Click on the "Folder Preferences" link
  • Next to "Trash Folder:" select "[Do not use Trash]" from the drop-down menu
  • Click on the "Submit" button near the bottom.

Once you have completed this, you should be able to delete some messages from your inbox to bring the size of it down.

NOTE: Once you have removed some items from your mailbox, you should consider changing the trash handling settings back to default. This will help to prevent any accidental loss of data in the future.
